List records against purchased functions
Request a handover schedule identifying the documents needed for the actual heater, pump, storage, controls and connection scope. Separate manufacturer instructions, drawings, relevant certificates and acceptance evidence by purpose. A promise to provide all necessary documents leaves the boundaries unclear. The buyer should know what each record supports and which project or destination documents remain the responsibility of another party before accepting the equipment package.
Require final configuration consistency
Ask how drawings and equipment registers will be updated to reflect approved manufacturing changes. A preliminary arrangement is useful during procurement but should not silently become the final record when the delivered truck differs. Have the supplier identify relevant revisions and component references. Compare the final duty schedule and supplied equipment with the document set so later maintenance and interface review are based on one coherent assembly rather than several incompatible quotation stages.
Keep evidence scope identifiable
Include the relevant test reports and agreed inspection dispositions with the equipment identifiers and conditions they address. A component record may support one pressure-containing item without proving the entire heated circulation assignment. Ask the supplier to distinguish these boundaries. The handover package should not combine unrelated certificates under a general compliance heading or imply that factory records establish field treatment success, destination approval or acceptance of external well equipment.

Agree document access and usability
State the required language, delivery format and any software or access dependencies for the agreed records. Identify searchable equipment references and a practical way to reconcile document revisions. A scanned bundle without clear identifiers may be difficult to use when ordering a replacement or reviewing a fault. Keep the request proportionate to the purchased scope, with any additional translation or specialist record preparation included in the commercial comparison rather than assumed free.
Close missing items with explicit dispositions
Before final acceptance, identify outstanding documents and agree their significance, responsible party and resolution status through the contract. Do not mark an entire record package complete merely because the vehicle is physically ready for dispatch. Where a document affects technical acceptance or a destination review, retain that dependency clearly. Later updates should carry their own revision and relationship to the delivered equipment rather than overwrite the history without trace.
Buy a usable equipment history, not a document count
The value of the handover package comes from its relationship to the delivered truck and the decisions it supports. Compare final drawings, equipment identification, duty evidence and external interfaces together. A large number of generic brochures can still leave essential questions unanswered. Keep purchaser-held information and supplier records distinct, with ownership and update duties agreed. This supports installation planning and long-term maintenance without promising regulatory acceptance everywhere, treating a manual as a complete well program or assuming every site commissioning service is included with the paperwork.
Put these items side by side in the bid review
| Purchase item | Question to resolve | Evidence to request |
|---|---|---|
| Scope | Which purchased functions have records? | Agreed document schedule |
| Revision | Does the set match the delivered truck? | Final drawings and equipment register |
| Gaps | What remains outstanding? | Reviewed document disposition list |
Suggested wording for the quotation request
Include a priced document and handover schedule for the offered well-flushing truck. Identify final drawings, installed equipment references, manufacturer instructions, relevant test and instrument records, and external-interface information. State language, format, revision and update responsibilities. Distinguish preliminary brochures from final configuration evidence and list outstanding technical or destination dependencies explicitly so acceptance can be reviewed against the delivered assembly.
Select the well flushing truck against an identified deposit, compatible treating fluid and an accepted circulation assignment. Review heater duty, delivered temperature, paired pump conditions, storage and the external return route together. Maximum component ratings and a wax appearance temperature do not establish a universal treatment recipe or prove cleaning effectiveness. Confirm the actual included equipment, measurement evidence and supplier responsibilities. Retain fluid information, configuration documents, operating limits and acceptance records with the purchase. Work at a well or flowline requires the responsible engineers, competent personnel and approved equipment and site procedures.
For the wider equipment scope, consult the Well Flushing Truck: Commissioning Guide. Use the RFQ checklist to collect the supporting documents before requesting a configuration-specific quotation.
Buyer questions
Does a large certificate bundle prove complete handover?
No. The records must support the actual supplied equipment and agreed functions.
Should approved component changes appear in final records?
Yes. Retain the relevant identifiers and revised supporting documents.
